What Is IFM? - Maintenance And Vendor Management Software

What is IFM

As a property manager, there is no end in sight to your responsibilities. From ensuring the proper maintenance of your building to working with tenants on their needs, there’s always something to do. Integrated Facility Management is a modern solution to an age-old problem: a distinct lack of time. So, what is integrated facility management exactly?

A robust integrated facility management program will have several defining characteristics, benefits to improve your operations, an easy-to-understand process, and services that meet your specific needs.

Characteristics of Integrated Facility Management (IFM)

IFM is a relatively loose term that boils down to one simple phrase:

Maintenance and Vendor Management

IFM vendor management serviceEvery building has maintenance needs. Pipes break, carpets need cleaning, sidewalks need clearing, lawns need to be mowed, and security systems need to be installed properly. Every one of these needs is often served by a different vendor.

Many of those vendors are required to be certified in their trade, and all businesses should have valid and up-to-date insurances. Some business equipment will have warranties or service contracts.

Keeping all of this information straight can be a nightmare, and then an emergency arises. As the property manager, the tenant or manager on duty contacts you to take care of the problem. Depending on the severity of it, it can completely derail your day.

An IFM program will maintain all of those for you, issuing the work orders and following up with the vendor to make certain that the job is completed on time.

Benefits of IFM

Although the benefits of an IFM service contract vary from client to client, there are several overarching benefits true to all IFM programs. These include:

  • Vendor management, including keeping up to date records of insurances and certifications

  • Work order issuance, including assigning a priority to the request

  • Assigning the request to a vendor and following up on it to ensure its completion

How does the process work?

The process starts with a simple phone call to our Help Desk team. When a client signs on for our IFM services, they’re assigned a dedicated support line.

By the way, we promise to always answer within 4 rings and never use an automated queue.

We’ll then take the call and immediately assign it a priority type based on the urgency of the request. From there, we create a work order and send it to a vendor from within the client’s vendor matrix. After that, we then follow up with the vendor to ensure that they completed the work order. We also consolidate all your facility billing into one source.

What services does IFM cover?

Integrated facility management programs cover a wide range of services. Although not always fully inclusive (it’s always based on the client’s needs), they can include:

  • HVAC
  • Carpentry
  • Millwork
  • Glazing
  • Flooring
  • Painting
